If you ordered from a business then you'll probably want to be checking your e-mail inbox instead of waiting by the phone. Typically a business will use the web portal to initiate the transfer and provide all the information that way (this is much faster since the phones are a hellish nightmare to get through, especially considering the volume of sales/transfers that a business has to handle), and the CFO will just send an e-mail you asking for proof that you're a member of a club/range (reply to the email with a photo of your membership card).

If it was a private transfer then the web portal isn't an option, you have to use the phones. And the CFO won't be calling you either - you need to call them. Ideally the seller should have done it first to get things started, and then given you a reference number to use. Then you'd call in, eventually manage to get through on your 98th attempt, provide that reference number, and then provide any other information they might ask (potentially including your firearms licence number, full name and address, and the transferor's (seller's) full name and firearms licence number, and general information about the restricted firearm).

I bought from a business but as far as I can recall they didn’t ask about my email just a personal mailing address (my place of living) should I be concerned or expecting something in the mail?

The best bet would be to contact the business you ordered from and see if the transfer was started, and if there is a reference number attached so that you can call the CFO to inquire about it.
